For Tuition and All Fees
2011 - 2012
MATRICULATION FEES
For new students, the $25.00 application and $50.00 registration fees are payable to the school office prior to the interview with the Principal, and are nonrefundable for all students. The $100.00 assessment fee is also payable in advance, prior to the initial interview with the Principal. It is non-refundable after the assessment has been administered. Note: a Gesell assessment is administered for students going into grades K to 4; a Stanford Achievement Test is given to students going into grades 5-12 to ensure proper grade placement.
For re-enrolled students, the reenrollment and curriculum fees are payable to the school office at the time of reenrollment, prior to the February 28th reenrollment deadline. Note: a $50.00 late fee will be assessed after the February 28th deadline!
The balance of all matriculation fees is due and payable by July 5th of the upcoming school year, unless the matriculation fee is paid through FACTS tuition management over a 12 month billing period. No student will be permitted to attend school unlessthe first two tuition installments are paid for July and August. In addition, all students must pre-pay matricualtion or pay monthly via FACTS before a student can attend one day of school. Students cannot reenroll if they have an outstanding tuition balance from the previous year! Note: school records will not be released to other schools or agencies if your child’s tuition account is in arrears!
If any student is accepted and enrolled after July 20th, a $50.00 late registration fee will be assessed, and must be paid prior to admission. If any student is accepted and enrolled after the opening day of school, they are also considered a late registrant, and all fees are due and payable in full, along with the $50.00 per student late registration fee.
TUITION PAYMENT PLANS
Upper Room Christian School has two tuition payment plans -annually or monthly.
Annual payment plan: if the family pre-pays their child’s tuition for an entire school year by July 5th of that upcoming school year, that family will receive a 5% prepayment discount for tuition only for the school year. If prepayment is made after July 7th, no prepayment discount for tuition will be given. Note: all fees are not discountable. Tuition may be paid by cash, check, money order, or by the following major credit cards: VISA, MasterCard, or American Express. In addition, student loans are available from Sallie Mae to qualified borrowers. The interest rate is fixed, and depends upon the creditworthiness of the borrower or borrowers.
Monthly payment plan: if parents or guardians choose to pay for their child’s tuition on a monthly basis, they must enroll in the FACTS Tuition Management 12 month payment plan. The first tuition payment is due and payable on July 5th, prior to the opening of school; the last payment is due on June 5th of the following year. Parents or guardians may choose to pay FACTS monthly by major credit card, or by having the money automatically debited each month from their checking or savings account. Parents are obligated to maintain an active checking or savings account for FACTS withdrawal. If the checking or savings account is closed by the parent or the financial institution, and is not replaced by a new checking or savings account within 30 days, the child will be withdrawn from Upper Room Christian School. The school office is not authorized to do any private billing with a family on a monthly basis!
REENROLLMENT FEES
The $50.00 reenrollment fee, as well as the $150.00 curriculum fee, is due and payable by February 28th of the current school year. Note: no family will be allowed to reenroll their child or children, until the prior year’s tuition balances have been paid in full. There is a $50 late fee for re-enrollments after April 1st!
LATE REGISTRATION
All new students are considered late registrants after July 5th. All late registrants must make two tuition payments directly to the school office, prior to the enrollment of their children in school, so that they may remain on the same tuition schedule as all of the families, who paid two tuition installments before the opening day of school. In addition, these late registrants must enroll in the FACTS Tuition Management Program, unless they choose the annual payment plan. Late registrants after July 5th will not receive any discount for prepayment of annual tuition for the school year!
MATRICULATION FEE REFUND POLICY
No part of the matriculation fees are refundable after the opening day of school! The only portion of the matriculation fees that are refundable before the opening day of school is the Technology / Computer Lab fee, and the Activity Fee (assessed for grades 6-12). The Assessment fee is refundable before the student has taken the Gesell Assessment or the Stanford Achievement Test.
TUITION REFUND POLICY
Investing in your child’s education is an important commitment that parents or guardians make substantially in advance of the beginning of each academic year. Therefore, if it is necessary for you to withdraw your child for any reason after the opening day of school, or if the child is financially withdrawn from Upper Room Christian School for any reason, you will be entitled to a refund of tuition only on the following basis:
Monthly payment plan: if a student has been withdrawn before the third Friday of any given month (whether school is in session or not on that date), the parent or guardian would be entitled to a refund of one monthly tuition installment, if their account is paid up to the date of withdrawal. If the student is withdrawn on or after the third Friday of any given month, they would not be entitled to a tuition refund for that month. For a multi-child family, the monthly tuition installment amount to be refunded is based upon the age and grade of the students being withdrawn. This may necessitate a recalculation of your family’s monthly tuition bill, based upon the “oldest child first” criteria, as described in the financial information page of your admissions package.
Annual tuition payment plan: if you took advantage of the annual tuition payment plan, with the 5% prepayment discount, you would be entitled to a refund of tuition for the remainder of the school year from the date of withdrawal to the last monthly tuition payments in June. However, the refund will be based upon the monthly tuition amount without the benefit of the 5% prepayment discount for the annual tuition payment plan, and is determined by your child’s date of withdrawn, using the third Friday of the month criteria (above). In addition, if your child is expelled for any reason, no tuition refund will be given!
For late registrants who start school with the required two months tuition payment, these two months of advance tuition payments are nonfundable after the first day of a child’s attendance in Upper Room Christian School.
For all financial withdrawals (i.e., non-payment of tuition) -financial withdrawals initiated by the school usually take place on the third Friday of the month that tuition payments are in arrears. Therefore, families withdrawn for nonpayment of tuition are not entitled to a tuition refund when withdrawn on or after the third Friday of the month. In most cases, if at least one tuition installment is paid within the 15 day grace period (between the 5th and 20th day of the month), the family is not withdrawn. The family then would remain in arrears, but would be facing withdrawal every fifth day of the following month, and would have have 15 days of grace to resolve it before being withdrawn on the 20th day of the month. Families in this situation would not be entitled to a tuition refund for that month. Please budget the cost of Christian education at Upper Room Christian School before putting you and your children in this unsettling scenario!
STUDENT REINSTATEMENT
1) All tuition arrears must be paid directly to the school office by cash, certified check, bank check, money order or major credit card. Personal checks will not be accepted for reinstatement.
2) A student may be withdrawn and reinstated only once during the school year for financial reasons. Our second financial withdrawal in the same school year would result in a permanent withdrawal for the remainder of that school year..
3) In the event of a financial or other withdrawal, please be aware that New York State compulsory education law requires us to report any child who is absent for more than 10 consecutive days to your local public school district for mandatory school attendance purposes.
4) Upper Room Christian School is not responsible for missed academic time or makeup work, if your child has been withdrawn for financial reasons or disciplinary reasons, such as suspensions!
5) Your reinstatement date will determine if you are required to pay the tuition installment for that month. For instance, if you are reinstated on or before the third Friday of any given month, you are required to pay that month’s tuition installment. If reinstated after the third Friday of any given month, you would not be required to pay that month’s tuition installment. There is a $50 Reinstatement fee!
OTHER FEES
Any additional athletic fees, music lesson fees, tutoring fees, drivers education fees, SAT Prep.course fees, along with any other fees for special programs and activities that your individual children may participate in during the school year are generally payable in full, prior to their involvement in the sport, activity, or other school programs. Please note that you agree to be subject to the individual programs financial requirements, schedule, academic and behavioral standards of conduct.
You will not be billed through the school office or through FACTS for these amounts, which will be administered through the athletic department, music department, or other school sponsored programs that your children choose to participate in. These fees are necessary for the individual budgets and specific requirements of each of these programs and activities.
Parents understand that their children must adhere to the qualifications and requirements of each activity, as well as the academic standards and standards of behavioral conduct, in order to continue the privilege of participation in these programs. There will be no refunds of these fees if the student or students is withdrawn for any reason, by either the parent or by the school. The specific billing, policy statements, and standard of conduct requirements for each of these programs are available from the respective departments.
Where no specific policy statements are available from the individual departments or programs, parents and students agree to the above policy and standards of conduct requirements for admission to Upper Room Christian School.
Returned Check Policy - If a check is returned to the school unpaid for any reson there will be a $25 fee payable to the school and no further personal or business checks will be accepted for the remainder of the school year. All further payments must be made in cash, certified funds, money order or credit/debit card.
